ATS Resume Compatibility

Before anyone judges what your resume says, software has to be able to read it. This page is about the file and layout, not the content: how to avoid the formatting choices that cause text to be lost or scrambled.

Check a resume against a job

No sign-in needed. If the file cannot be read, the check will say so.

What "parsing" means

An applicant tracking system usually extracts the text from your file and tries to sort it into fields: name, contact details, jobs, dates, education, skills. If the extraction mangles the order or drops a block, the recruiter sees a broken profile, or finds nothing when they search.

Systems differ, and none can be tested from outside. The advice below reduces the number of ways your file can go wrong; it does not promise how any one system will behave.

Layout choices that cause trouble

  • Multiple columns and text boxes can be read in the wrong order, merging a sidebar into the middle of a job.
  • Tables used for layout can split a line of text across cells.
  • Contact details placed in a page header or footer are sometimes skipped.
  • Text inside images, icons for phone and email, and skill "bars" are not text a parser can use.
  • Unusual section names such as "My journey" give a parser nothing to recognise. Standard names (Experience, Education, Skills) are safer.

File types

A text-based PDF and a DOCX file are both widely accepted. Follow the instructions in the application; if it says one format, use that one. A PDF made by printing a scan, or a design file exported as a flat image, contains no text to read.

A test you can run in a minute

  1. Open your PDF. Select all the text and copy it.
  2. Paste into a plain text editor. Use something with no formatting.
  3. Read it top to bottom. Is the order right? Are the dates beside the right jobs? Is anything missing, such as your phone number or a whole column?
  4. Fix what is wrong. The cause is almost always one of the layout choices above.

Where JobSealer fits

JobSealer’s ten free templates all use a single-column layout and are marked ATS-safe in the template registry, and the free plan includes all ten of them with a limited number of PDF exports. The Resume Health Check includes an ATS Compatibility dimension that asks whether a machine can read the document completely and reliably.

A compatible layout makes your content readable; it does not make weak content strong, and it does not guarantee any outcome.

What this cannot do

  • This is formatting advice. Nothing here can test an employer’s own system.
  • Following it does not guarantee your resume is read, ranked or shortlisted.

Frequently asked questions

Is a PDF or a DOCX better?
Both usually work when they contain real text. Use the format the employer asks for.
Are creative templates always bad?
They carry more risk of parsing problems. If you want a designed version, keep a plain one for online applications.
Can a tool prove my resume will parse everywhere?
No. Employers use different systems. You can only remove common causes of failure.
